These terms and conditions may change from time to time and apply to all of our services.

By accessing, browsing, using, and/or completing a reservation through our (mobile) website, you acknowledge and agree to have read, understood, and agreed to be legally bound by the terms and conditions set forth below. No contract between the customer and Travelling Souls Panama will be valid until Travelling Souls Panama receives full payment and issues a confirmation invoice. The client who makes the reservation accepts these conditions on behalf of all the members of their travel group and is responsible for the entire payment.

Travelling Souls Panama is a tourism operator that offers a wide range of adventure tours and various activities in Panama.

Reservations can be made directly through Travelling Souls Panama, its sub-brands, and/or any other website through which Travelling Souls Panama makes its services available. If you encounter any problems making a reservation through the website of Travelling Souls Panamá www.travellingsoulspanama.com, please get in contact with our customer service team.

Travelling Souls Panama reserves the right to modify itineraries and/or schedules if necessary, due to adverse weather or other related conditions. Travelling Souls Panama is not responsible for expenses and/or other related costs due to factors beyond its control, such as flight delays, changes or cancellations, injuries, weather, war, natural disasters, etc., and/or other unforeseeable matters. You are responsible for providing Travelling Souls Panama with the correct contact information and related details so that we can keep you informed if changes are made to the reserved services.

REFUND POLICIES – IMPORTANT (PLEASE READ CAREFULLY)

In general, refunds will not be granted due to the following situations:

  • When travelers choose not to participate in a day trip already purchased.
  • The climate is not to the liking of the guests.
  • When travelers are not at the indicated pick-up location on time.

Travelling Souls Panama will grant refunds when the weather conditions are not suitable for our activities.

Personal Risk Policies

The Participant hereby waives, release and discharge any liability, claim, obligation, damage, causes of action, including, among others, liability arising from negligence or fault, for my death, disability, illness, personal injury, property damage, theft of property or actions of any kind that could occur to me during the activity mentioned in the User Information Form to TRAVELLING SOULS PANAMA, SA, or any of its associates, employees, representatives, agents or volunteers. I understand that TRAVELLING SOULS PANAMA, S.A. assumes no responsibility or obligation to provide financial or other assistance, including but not limited to medical, health, or disability insurance, in the event of injury, illness, death, or property damage.

I promise not to sue or to exercise any legal action against the entities or persons mentioned above and I release them from each and every one of the responsibilities or claims that may arise as a result of my participation in the activity mentioned below.

Cancellation Policies

All Travelling Souls Panama cancellation fees are only intended to cover our direct cost of modifying and/or canceling your reservation. By accessing, browsing, using, and/or completing a reservation through our (mobile) website, you acknowledge and agree to have read, understood, and agreed to be legally bound by the terms and conditions set forth below. No contract between the customer and Travelling Souls Panama will be valid until Travelling Souls Panama receives full payment and issues a confirmation invoice. The client who makes the reservation accepts these conditions on behalf of all the members of their travel group and is responsible for the entire payment.

All communications related to these terms and conditions (in particular, any request to cancel or modify your travel arrangements) must be from the lead traveler for each reservation and processed through our reservation system where travelers can manage their reservations. If the customer portal is inaccessible, all cancellations must be submitted in writing via the customer contact form (e-mail) and submitted by the lead traveler. Once delivered, Travelling Souls Panama must confirm the modification and/or cancellation before taking further actions. If the refund is in order, it will be made per all procedures and processed as quickly as possible, and the stipulated amount will be transferred to the same credit card that was used when making the reservation. Please note that we are not responsible for delays in delivering the refund to your account once it has been processed. For tours purchased through another provider, please contact the provider directly with your refund and/or cancellation request. The cancellation policies apply to the departure date of the original reservation for when the tour was booked.

Cancellation Fees and Charges

Changing the number of participants in a reservation to a lower number is considered cancellation due to the change in the number of participants. Such cancellations are subject to cancellation fees as indicated below.

As we begin to incur costs from the moment the contract is confirmed, we will apply the cancellation charges as shown below from the moment written notification of the cancellation is received:

 Cancellation of Day Tours

  • Notice of more than 72 hours
  • Full refund*
  • Less than 24 hours notice
  • No refund*

*Applicable when full payments have been made. In the case of deposit payments, the deposit becomes non-refundable in case of late payments.**

For all reservations of day tours operated by Travelling Souls Panama (or any of the sub-brands of Travelling Souls Panama), we required a minimum notice of 72 hours of cancellation or modification before the scheduled departure of the tour to obtain a full refund. If a cancellation is made less than 24 hours before departure, no refund will be made. For the 24-hour policy to be applicable, cancellations must be made and sent to Travelling Souls Panama through our reservation system or e-mail. The 24-hour policy does not honor cancellation requests sent through other means. If the customer portal is inaccessible, all cancellations must be made in writing via the customer contact form and submitted by the lead traveler.

For reservations that have a 50% deposit payment (not full payment), in case of late payments, the 50% deposit becomes non-refundable if the amount is not finalized more than 14 days before departure.

Extras and rental equipment, reserved as part of a day tour, are subject to the terms mentioned above.

Please note that these policies only apply to tours operated by Travelling Souls Panama. Tours operated by trusted partners are subject to the cancellation policy of the operators.

Cancellations Of Packages Of Multiple Days, Groups And Excursions Of Trekking, Hiking Or Other Activities

Cancellations with more than 14 days in advance before the departure of the trip:

You will be reimbursed 80% of the total price of the tour. The remaining 20% is non-refundable, as it represents our direct cost of booking and preparing your tour.

Cancellations with less than 10 days in advance before the departure of the trip:

You will be reimbursed 50% of the total price of the trip. The remaining 50% is non-refundable, as it represents our direct cost of canceling any arrangements made for your tour.

*Late payments on deposit reservations: Travelling Souls Panama reserves the right to treat cases of late payments as a cancellation of the reservation, and the company may withdraw its confirmation of services. Please note that this only applies if no payment has been made at least 2-weeks before the tour departure and no agreement has been reached to pay the remaining balance. In case of late payments, the 20% deposit becomes non-refundable, and the reservation counts as canceled.*

Cancellations with less than 48 hours in advance before the departure of the trip:

No refunds will be made if tours are canceled less than 48 hours in advance, as Travelling Souls Panama will be charged for all costs such as guides, transportation, etc.

20% of the price of your trip is non-refundable. This percentage reflects our cost of booking and preparing your trip.

Extras and rental equipment, reserved as part of multi-day tours, are ruled by the terms set forth above.

Self Drive tours are not eligible for partial cancellations of included activities and/or passenger counts. Full cancellations follow the terms mentioned above.

Note: You can cancel your reservation up to 72 hours before the tour starts and get a full refund. If you cancel the tour within 72 hours before the tour starts, no refund will be issued to the traveler.

Cancellations Of Private And Customized Tours

Cancellations of private, group and personalized day tours (individual and group reservations) made more than 5 days in advance (before departure):

You will be reimbursed 80% of the total price of the tour. The remaining 20% is non-refundable, as it represents our direct cost of booking and preparing your tour.

Cancellations of private, group and personalized day tours (individual and group reservations) made less than 5 hours in advance:

No refund will be made if canceled less than 72 hours in advance, as Travelling Souls Panama will be charged for all costs such as guides, transportation, etc.

Cancellations of private and personalized multi-day tours (individual reservations, 1-9 or more participants):

  • Notice of more than 10 days
  • 80% refund
  • Less than 10 days notice
  • 40% refund*
  • Less than 72-hour notice
  • No refund

Cancellations of private and personalized multi-day tours (individual reservations of 1 to 9 participants) made more than 10 days in advance (before departure):

You will be reimbursed 80% of the total price of the tour. The remaining 20% is non-refundable, as it represents our direct cost of booking and preparing your tour.

Cancellations of private and personalized multi-day tours (individual reservations from 1 to 9 participants) made less than 10 days in advance:

You will be reimbursed 50% of the total price of the trip. The remaining 50% is non-refundable, as it represents our direct cost of canceling any arrangements made for your tour.
